Booking conditions.

The technical tour organiser for trips booked with Gravel Adventure is MTB-Adventure ApS (CVR 39040751), member of the Danish Travel Guarantee Fund (Rejsegarantifonden) no. 2879. The specific terms for your trip are confirmed in your booking confirmation.

Booking & payment

When you complete a booking form you immediately receive a confirmation email listing the booking we've registered. Please check it matches what you intended and tell us straight away if anything is wrong.

Within 3 business days you'll receive an invoice for the full price, including a deposit of €500 per rider (higher for private tours or packages that include flights). The deposit is due immediately; paying it confirms your tour booking and any add-ons. Once the deposit is paid, your purchase cannot simply be cancelled — the cancellation terms below then apply.

If the deposit isn't paid within 3 days of receiving the invoice, we reserve the right to cancel your booking and release the reserved places. The remaining balance is due 60 days before departure; no new invoice or reminder is sent. If the balance isn't paid on time, we reserve the right to release your places and the deposit is lost.

If you book later than 60 days before departure, the full amount is due immediately and your places are only confirmed once payment is received. Payments are processed securely by Stripe; we never see or store your card details.

Cancellation & transfer by you

You can hand over your place right up to departure without losing what you've paid, provided you name another person who takes over your booking in full. You settle the difference between yourselves and notify us of the name change in writing. A transfer is subject to our standard change fee (see “Changes to your booking”). The exception is tours where flights or other transport are included in the price — there you'll also need to cover the carrier's name-change charges, and in some cases a new ticket may be required. If a replacement participant can't be found, cancellations must be made in writing to info@gravel-adventure.com and the following applies:

  • More than 5 months before departure: 50% of the deposit is refunded.
  • From 5 months up to 60 days before departure: the deposit is lost and not refunded.
  • From 60 days up to 30 days before departure: 50% of the tour price is lost; 50% is refunded.
  • From 30 days before departure: 100% of the tour price is lost.

Please note: private and bespoke tours have their own cancellation terms, which are set out in your tour agreement, on the booking page and/or in your confirmation. We strongly recommend cancellation insurance — see “Insurance”.

Cancellation by us

If MTB-Adventure ApS cancels a tour — for example because there are too few participants — all amounts you've paid are refunded within 7 days of the cancellation, once we have your account details. In the event of insolvency, your payment is 100% protected through our membership of the Danish Travel Guarantee Fund (Rejsegarantifonden).

Guaranteed departure

A tour is guaranteed to run once at least 10 riders have booked and paid their deposit no later than 90 days before departure.

Changes to your booking

Subject to availability and our ability to accommodate your request, you can make changes to your booking for the following fee:

  • Up to 30 days before departure: €35 per change, if possible.
  • From 30 to 8 days before departure: €70 per change, if possible.

Any additional cost for hotel nights, transport, meals and so on is added to the change fee and must be paid immediately and before departure.

Price changes

The tour price may change in the event of unforeseen cost increases from suppliers, energy markets or similar. If the price changes, we'll notify you on a durable medium at least 10 days before departure. The price can be increased by no more than 8% of the total tour price. If the increase is more than 8%, you're entitled to cancel and be refunded everything you've paid, or to move to another tour with availability.

Insurance

Your safety and peace of mind matter to us, so comprehensive travel insurance that covers taking part in gravel trips is required on all tours. A European EHIC/GHIC card (or national equivalent) only covers treatment as a local resident — it does not cover a private hospital, repatriation, a companion and so on. Some credit cards include travel cover; check how you're covered.

We also strongly recommend cancellation insurance with “before departure” cover, so you're protected if illness or injury forces you to cancel before you travel. Note that cancellation insurance must usually be taken out no later than the day you book the trip it's meant to cover.

Your bicycle: during the tour, damage to or theft of your own bike is covered by your own insurance. When you buy bike transport with us, our insurance covers your bike and luggage from the moment we collect it until it's handed back to you at the start — and on the return.

What's included

Unless stated otherwise on the tour page: guiding (on guided departures), daily luggage transfer between hotels, GPX route files, a support vehicle on the route, hotel accommodation, breakfast and dinner as described, and a daily lunch stop.

Not included

  • Flights and travel to and from the start and finish
  • Your bicycle, equipment and personal clothing
  • Travel and cancellation insurance (required — see above)
  • Drinks, snacks and meals not described as included
  • Personal expenses and anything of a personal nature

Health, fitness & equipment

Our tours are physically demanding and take place on mixed terrain. You are responsible for being in adequate condition for your chosen tour and level, and for declaring any relevant medical conditions or dietary requirements when you book.

If the tour leader and guide team judge that a rider's physical or technical ability, or their equipment, is so far short of what's required that continuing is unsafe — or would cause significant delays for the rest of the group — the tour leader may end that rider's continued participation, or require them to be transported to the next destination town. Any costs involved are the rider's own. The tour leader will explain the decision at the time and, if requested, in writing after the tour.

During the tour

You cover your own costs and any knock-on costs arising from crashes, illness, an early return home, breakdowns, theft, extreme weather, delays and similar — including delays and follow-on costs on shared transport (bus or similar) back to the start town or to the airport. We do everything we can along the way to help and assist, including with the support vehicle.

Complaints & refunds

Any complaint about faults or shortcomings must be raised with the tour leader immediately, on the tour. We'll do everything we can in the moment to put things right, though we depend on local suppliers and conditions that aren't always within our control. Requests for a refund must be sent in writing, with a reason and documentation, no later than 7 days after the tour ends, to info@gravel-adventure.com.

MTB-Adventure ApS follows all applicable rules for package travel. In the unlikely event of an unresolved dispute, we refer to the Danish Package Travel Complaints Board (Pakkerejse-Ankenævnet) — though we hope it never comes to that. We make our living from happy guests who come back.

Entry requirements

It's your own responsibility to meet each destination country's laws and entry requirements — for example vaccinations, health tests, online registration, insurance and so on.

Gift cards

Paid gift cards (bought from MTB-Adventure ApS) can be used towards both the deposit and the balance. Sponsor gift cards (won in competitions, at events and similar) can be used towards the balance.

Practical information

No later than 30 days before departure you'll receive an information email with all the practical details for your tour as a PDF, including the participant list and separate information on bike transport. Before then, please see the tour page and our FAQ, or call +45 22 22 19 22.

Tour jersey

If you book later than 3 months before the departure date, we can't guarantee you'll receive a Gravel Adventure cycling jersey — and if you do, it may be without the tour name and personal name print.

Financial protection

Your booking is protected through the Danish Travel Guarantee Fund (Rejsegarantifonden), member no. 2879 — financial protection equivalent to that required for package travel across the EU.

Governing law

These conditions are governed by Danish law, and any dispute is subject to the Danish courts and the Danish Package Travel Act.
